PAC Meeting Minutes - October

Westwind PAC Meeting Minutes

October 24, 2023 @ 6:30pm via Teams Meeting called to order: 6:32pm

Welcome!

  1. Approval of the Minutes from last PAC Meeting (September 2023): motion to approve moved Jamie, seconded Gina, PASSED.

  2. Chair’s Report

Before we make further decisions about where money will be allocated, we’re going to see how it goes over the next month or so with our first fundraising initiatives. We will likely bring forward an amended budget to the November meeting for discussion and voting as we consider the school’s ‘wish list’.

Parent volunteer positions: connect with Drew (drew.savage@shaw.ca) if you can help!

Due to increased enrollment since May 2023 (over 50 new students) and the subsequent addition of 2 new divisions, costs for classroom allocation have increased.

The budget does currently show a deficit, but we will be able to make that up with the gaming grant funds, which have now been deposited. October will show these changes.

Clarification of some of the budget categories:

Special Events: usually includes things like dance instructors for the winter concert, Saleema Noon workshops, sports instruction (tennis, ultimate, golf, etc.)

Library: this used to be a kickback from Scholastic, but since PAC is no longer running the bookfair, this line item will likely be removed since all bookfair funds now go directly to the library.

Donations: come from the ask letter sent to families (tax receipts are given for donations over $25)

Other Fundraisers: what the fundraising committee brings in through its various initiatives.

Looking forward to our mid-December installation!

Parent Education Committee – still looking for volunteers Lend a Hand Committee – still looking for volunteers

Grade 7 Yearbook Committee – still looking for a volunteer to lead this project. Bill suggests that this project could be combined with the K-7 Yearbook – he’s happy to connect Grade 7 parent volunteers with the existing committee.

If you’re eager to volunteer, check the Westwind PAC facebook page or email drew.savage@shaw.ca and he will put you in touch with the right people!

Mr. Juhasz

Staffing: Cheryl Burian has come in for the Grade 3/4 job share, which is great. 2 new EAs (Aman Janjua & Andrea Clute) have been hired and there are still 2 more postings out for EAs. Hopefully applications come in.

Volleyball is up and running. Family Teams have been organized and will be pumpkin carving together next week.

The resource team is busy writing Individual Education Plans for students that have them.

Photos retake day is November 6.

Remembrance Day ceremony will be held November 10.

Hip Hop dance instructors have been hired for our winter concert: Jess Dance. Performance date is still tentative, but may be December 19th (likely during the school day). To be confirmed.

The Westwind ‘wish list’ for 2023/2024

The expenses are significant, but whatever support PAC can offer is very much appreciated. ***Budget amendments will likely be brought for discussion & vote at the Nov. PAC meeting.***

The parking lot policy isn’t being followed – too many cars are stopping & parking, waiting for students. This policy is going to be looked at and updated, then communicated widely. Yes, kids can walk a little way, even in the rainJ

The Holiday Raffle – Shiz is happy to help get this up and running again this year. 7. Adjournment

Motion to adjourn: moved Shiz, seconded Bill. PASSED. Adjourned: 7:38 pm.

Thanks to all in attendance! Next meeting will be in November.
